Q-Pulse Module Overview Q-Pulse provides you with 10 interacting modules and a workload tool all in one complete application. The application is customizable.
Corrective & Preventative Action (CAPA) Module – The CAPA module provides you with a way to track issues from capturing the initial complaint through resolution. It also allows you to tailor how different types of issues will be handled. With customized wizards and templates you can decide what pieces of information you’d like to collect and who in your organization should take ownership in resolving the problem. After the details are captured in a wizard, based upon the source of the issue, they will automatically be dropped into a pre-designed template allowing you to apply specific actions with specific people assigned and a workflow. Safety issues will immediately flow to the safety manager, customer complaints will immediately flow to the quality manager and so on.

Audit Module – The Audit module allows you to schedule one-time or re-occurring audits. You can apply a specific scope based upon a list of standards or requirements, build your own audit checklist to be used over and over or modified as needed, assign auditors and auditees, record findings and more. Document Control Module – The Document module takes all of the work away from your existing manual system and streamlines the approval and distribution of documents. Similar to the CAPA module, a workflow may be applied allowing you to decide who should review the document first. You can manage individual files or folders of files. Q-Pulse provides an excellent mechanism for storing training materials, contract documents, procedures and any other type of file that requires electronic storage. The Document module gives you the ability to link related documents, so that when a change is made you can quickly access other documents that may need to be updated as well. You can also link departments and even standards or requirements. Q-Pulse makes it easy to set-up permissions, so that your entire organization can access documents or only the specific departments, customers, suppliers or individual users that you want to have access. Documents are easily revised through a check-in/check-out process, leaving the active document accessible while you work on a new revision. A change history as well as a review history is maintained on all documents. You can even assign your own unique numbering system based upon your document types. Training Module – The Training module allows you to schedule classes and works interactively with the People Module. Training events may be marked as renewable allowing Q-Pulse to prompt you when training is coming due. Q-Pulse also allows you to search for people requiring the scheduled course based upon their Job Roles and required Competencies. Training may be document-based or otherwise. In the Training Module, when scheduling a training event, you may require evaluations once the training is complete. Just as Q-Pulse sends out emails notifying everyone of the training event, it will also send an email once the event has been completed requesting an evaluation. The cost and duration of the course may be recorded as well as a certificate attached demonstrating completion. Training records may be viewed by class in the Training Module or individually within the People Module by looking at Event History. People Module - A Master Event List can be set-up in the People Module, so that when scheduling classes, classes that have already been created can be pulled over with their corresponding training materials, assigned trainer and their corresponding locations into the Training Module. A Master Job Role List is also created in the People Module, allowing you to establish Competencies for each role within your organization and then applying those roles to individuals. Also, by tying training events to competencies and competencies to job roles, when a job role is tied to a person, a training plan is automatically created for them in the People Module. Q-Pulse also allows you to perform searches to find those individuals with specific competencies.
Lastly, the People Module allows you to schedule and record Employee Reviews, add direct reports and capture all kinds of details relevant to the employee. Asset / Equipment Module – The Asset Module allows you to maintain records of all of your company’s assets, customizing and scheduling maintenance, recording and trending issues and keeping valuable documents such as calibration certificates and user manuals linked to the equipment. For each stage that you add in an equipment record, you can indicate the type of activity, when it needs to be performed, who will perform it and once completed record the result and / or attach a certificate. Q-Pulse will email the person or company responsible for the activity to remind them that it is coming due. You can launch a nonconformance against a piece of equipment or you can link a piece of equipment to a corrective action request. Suppliers Module – The Supplier Module allows you to keep track of which suppliers are approved, not approved and under review. It also allows you to record the method by which the supplier was approved i.e. site visit, self-certified, questionnaire, etc. and record a rating. You can create supplier corrective action requests or SCARs against the supplier and Q-Pulse will send an email with a secure link for the supplier to respond. Supplier issues may be trended using the Analysis Module to identify reoccurring issues with a particular process, product, etc.. Supplier contracts can also be added as attachments in the Supplier Module and managed within the Document Module to ensure timely reviews. Customers Module – The Customer Module allows you to keep track of important customer details. Account Managers can keep track of customer issues and access can be given to customers through the secure web portal, so that customers may view activity related to issues they’ve logged. Account Managers can also enter corrective action requests, complaints or compliments on behalf of the customer. These issues can again be analyzed in the Analysis Module. Analysis Module – The Analysis Module provides you with a powerful tool for evaluating the performance of your organization. Any issue whether it is the result of an audit finding, customer complaint or equipment failure can be examined here. Drill down capabilities allow you to look at issues from many different views. For example, you can look at customer complaints, by customer, by type, by related standard, process, document and so on. Multiple drill downs can be used to ensure you get the best picture available of what is happening. You can apply overlays, compare data from one time period to another, change graph styles, design reports or use existing reports and export graphs for use in other applications. Administration Module – The Administration Module allows you to customize access, set-up groups for easier application of permissions, build drop-down lists specific to your company’s needs, customize field names, establish numbering conventions for audits, documents and corrective and preventative actions. The Administration Module is the place to customize messaging and escalations. Set-up reminders based upon time lapsed or number of occurrences.
For those requiring Part 11 compliance, electronic signatures are turned on here, password configurations may be set, rules for timeouts, log-offs and lock-outs are all controlled within the Administration module. Contact us for more information about this module and the Q-Pulse application.
Workload – The Workload tool allows you to see what is currently due , past due or coming due. When you engage the Workload tool it scans the system and pulls in all activity specific to the user based upon their settings. The user may then click on the number beside the specific action for example, “Documents Awaiting Acknowledgement 3” and be taken directly to the three documents to be acknowledged. Additionally, with Advanced Workload, all work currently in the system can be reviewed and filtered by a person, department or group making it easy for managers to see what their department is working on.
